Job purpose
| The Policies & SOPs Coordinator supports the strengthening of institutional effectiveness, consistency, and accountability across the Syrian Arab Red Crescent (SARC) by coordinating the development, review, standardization, dissemination, and monitoring of organizational policies, procedures, guidelines, and Standard Operating Procedures (SOPs).
The position works closely with headquarters departments, branches, and relevant stakeholders to ensure that organizational documents are up to date, accessible, aligned with SARC strategic priorities, and effectively implemented throughout the organization. |
Job duties and responsibilities
| 1. Policy and SOP Development:
· Coordinate the development, revision, and updating of organizational policies, procedures, manuals, guidelines, and SOPs. · Ensure that all documents follow approved organizational standards and formats. · Facilitate consultations with departments, branches, and technical units during the drafting and review processes. · Ensure alignment of policies and SOPs with SARC Strategy, operational plans, governance decisions, and Movement standards. · Support departments in identifying policy gaps and developing appropriate solutions. 2. Quality Assurance and Standardization · Establish and maintain a standardized framework for policy and SOP management. · Review documents to ensure consistency, clarity, practicality, and compliance with organizational requirements. · Ensure harmonization among policies, procedures, guidelines, and operational practices. · Promote continuous improvement of organizational systems and processes. 3. Institutional Compliance and Monitoring · Monitor implementation and adherence to approved policies and SOPs. · Conduct periodic compliance reviews and identify areas requiring corrective actions. · Prepare reports on policy implementation status and organizational compliance. · Support departments in addressing identified compliance gaps. 4. Documentation and Knowledge Management · Maintain a centralized repository/database for all approved policies, procedures, manuals, and SOPs. · Ensure version control, document tracking, and archival processes are properly managed. · Develop mechanisms for easy access and retrieval of institutional documents. · Support organizational knowledge management initiatives related to policies and procedures. 5. Capacity Building and Awareness · Organize orientation sessions, workshops, and awareness activities on newly developed or revised policies and SOPs. · Provide technical support to departments and branches regarding policy interpretation and implementation. · Develop user-friendly guidance materials and tools to facilitate understanding and application. 6. Organizational Development Support · Contribute to National Society Development initiatives and organizational strengthening processes. · Support assessments, audits, accreditation processes, and institutional development projects requiring policy and procedural documentation. · Participate in organizational reviews and process improvement initiatives. · Provide technical input to business continuity, risk management, quality assurance, and organizational development activities. 7. Reporting and Coordination · Develop annual and quarterly work plans related to policy and SOP management. · Prepare periodic progress reports and presentations for management. · Coordinate with departments, branches, and partners on policy-related initiatives. · Represent the NSD Unit in relevant internal committees and working groups when delegated. |
