Job purpose:
The Admin assistant will ensure efficient and effective delivery of office support services for the office. The Admin assistant will assist the Finance Team in daily routine works and will be accountable for his/her duties and ensure compliance in all IFRC policies, systems, and procedures.
Job Duties & Responsibilities
Processing of Cash payments and Petty Cash Handling:
Process authorized/approved cash payment requests as per the SoP’s.
Prepare petty cash sheet, complete with all supporting documentation on a daily basis,
Keep the cash in the Safe/ Cash locker and change the password of the safe/cash locker on a regular basis.
Complete a daily cash count and regularly reconcile with CODA journal balances,
Prepare monthly Petty Cash reconciliations, under the supervision of the line Manager.
Process & follow up Cash Advances with local staff in accordance with the agreed procedures.
Responsible for the timely recoupment of petty cash balance and encashment of petty cash recoupment cheques from the banks.
Disbursement and Reconciliation of NSWAs:
Responsible for the reconciliation of outstanding NSWA monthly basis,
Responsible for the release of vendors payments, IFRC staff payments .. etc
Responsible for checking all the documentation that comes with the WA reconciliation.
Data entry in Coda:
Responsible for entering Bank payment vouchers in Coda on a daily basis.
Ensure all entries in Coda are complete & accurate, validated, and ready for posting.
Assist the Finance Team in the month-end and year-end closing
Files Management:
In coordination with the line manager, develop and maintain a filing system of financial documentation,
The separate moth-wise files be maintained with proper coding/tagging.
- Maintain clean and accurate accounting files with original documents.
- Documents should be filed in sequence and clearly indicated with a document number for easy access.

Communications
- Maintain good and high-level public relations with all service providers and landlords.
- Maintain a high level of confidentiality at all levels of work.
Others
- Be part of the after-working-hours administrative support phone rotation in case of urgent needs.
- Act as backup for Finance colleagues as per the finance job tasks list (including different financial tasks)
- Any other duties that may be assigned by the line Manager.

- Perform any other work-related duties and responsibilities that may be assigned by the line manager
Required Qualifications:
- University Degree in Business Administration or relevant major
- At least 1 year of relevant experience in financial management, preferably in an international development or humanitarian organization
- Experience with financial management systems, such as SAP or Oracle
- Familiarity with donor regulations and compliance requirements.
- Good computer skills (Windows, spreadsheets, word processing, Microsoft Office)
- Appropriate verbal and written communication skills
- Multitasking ability
- Stress management skills
