Job Purpose:

To ensure the efficient and effective operation of administrative and logistical work in the Medical Department, through coordinating daily activities, managing information, supporting the medical team, and contributing to the implementation of health programs in accordance with quality standards and organizational and humanitarian policies.

Main duties and responsibilities:

§ Managing the Medical Director’s schedule, including organizing appointments and internal / external meetings.

§ Preparing for Medical Director meetings, preparing agendas, taking minutes of meetings, and following up on the implementation of decisions and outcomes.

§ Preparing and drafting administrative correspondence and periodic (monthly/quarterly) reports related to Medical Department activities.

§ Updating and maintaining the Department electronic and paper records and files in an organized, secure, and confidential manner.

§ Monitoring incoming and outgoing mail and distributing it to the relevant parties.

§ Monitoring the Medical Department needs for stationery and office supplies and submitting purchase requests to the Logistics Department.

§ Coordinating with the Logistics and Procurement Department to secure the needs of medical programs (medications, equipment, medical consumables) and following up on purchase orders and deliveries.

§ Assist in organizing travel arrangements for the medical team.

§ Oversee the maintenance of medical office equipment and coordinate with relevant departments.

§ Collect and analyze primary data from medical coordinators and prepare draft preliminary activity reports.

§ • Assisting in preparing presentations on the performance of the medical department to be presented to partners or donors.

§ Working as the primary focal point between the medical department and other departments (logistics, human resources, finance, programs) to ensure the smooth implementation of activities.

§ Receive visitors and external entities and provide them with the necessary administrative and informational support as directed.

§ Adhere to the organization’s policies and procedures, including policies on protection from sexual exploitation and abuse, and policies on combating fraud and corruption.

§ Implement accountability principles towards affected communities and ensure that feedback channels are available to beneficiaries.

§ Contribute to creating a safe and inclusive work environment for all.

Qualifications:

· Bachelor’s degree in Business Administration, Health Administration, Public Administration, or a related field.

· 2-4 years of experience in administrative work, preferably in the health sector or with local or international NGOs.

· Excellent command of Arabic (written and spoken).

· Good command of English (written and spoken).

 

Job Skills and Competencies:

• Organizational Skills: Ability to prioritize tasks, manage time effectively, and handle multiple tasks under pressure.

• Technical Skills: Advanced proficiency in Microsoft Office applications, particularly Excel for basic data analysis, Word, and PowerPoint.

• Communication Skills: Excellent verbal and written communication skills with various levels and the ability to build strong working relationships.

• Attention to Detail: High level of accuracy in work and report preparation.

• Problem-Solving Skills: Initiative and the ability to propose solutions to daily challenges.

• Teamwork Skills: Ability to work effectively within a multidisciplinary team.

* Understanding of information security and privacy issues within the department.

* Flexibility & adaptability to changing circumstances and sometimes challenging work environments.

* Full commitment to the organization’s Code of Conduct.

* Flexibility for travel to the field when required.
